Welcome to Business Travel Professionals (“BTP,” “we,” “us,” or “our”) operating the businesstravelprofessionals.com website (the “Service”). These Terms and Conditions govern your use of our Service and outline your rights and obligations when engaging us for travel consultancy and booking services. By utilizing our Service, you agree to be bound by these Terms.
1. BTP’s Role as Service Agent
**Agency Disclosure:** BTP acts solely as a travel consultant and booking agent on your behalf to secure travel arrangements. We do not own, manage, or operate any airline, hotel, or transportation service.
- When we make a booking for you, you are entering into a contract with the relevant third-party supplier (e.g., the airline or credit card program) subject to **their own terms and conditions, refund policies, and liability limitations.**
- BTP is not responsible for any act, error, omission, or negligence of any third-party supplier or for any injury, loss, damage, or delay caused by the supplier.
2. Third-Party Bookings (GDS and Negotiated Fares)
We specialize in sourcing heavily discounted airfares utilizing industry channels and proprietary methods, which are often our primary source for securing discounted tickets.
A. Global Distribution Systems (GDS)
BTP uses authorized Global Distribution Systems (GDS) to access, search, and book published and unpublished airline inventory. The availability and pricing displayed through the GDS are subject to change by the respective airline until the ticket is paid for and issued.
B. Negotiated Fares and Proprietary Pricing
We may source tickets through special contracts, consolidated pricing, or other travel industry methods (including what may be referred to as “travel industry travel tricks”). These fares are confidential and may be subject to additional restrictions (e.g., ticket issuance deadlines, non-transferability, non-refundable status) that are stricter than published fares. By accepting a negotiated fare, you agree to abide by all associated restrictions.
C. Payment for Negotiated Fares
For tickets sourced through GDS and negotiated fares, the payment process will vary depending on the issuing partner (airline or consolidator):
- In most cases, the ticket cost will be processed and charged by the **airline or consolidator**, while BTP will process the separate **service fee.**
- In some cases, BTP may process the **full fare amount** (ticket cost plus BTP service fee) on behalf of the client and the issuing partner.
- We accept payment for services and ticket costs via **Credit Card, Wire Transfer, and PayPal.**
The specific service fee for revenue tickets will be communicated and agreed upon before booking.
3. Reward Travel Consultancy Services and Fees
Our service involves leveraging our expertise to search for, advise on, and book flights using the client’s credit card and airline points/miles.
A. Service Fee Structure (Per Person, Per Itinerary)
Our service fee is charged only upon the successful issuance of a reward ticket. This fee is non-refundable once the ticket is issued by the airline.
- **Business and First Class Tickets:** $400 USD
- **Premium Economy Tickets:** $300 USD
- **Economy Class Tickets:** $200 USD
B. Service Guarantee (Reward Tickets Only)
**If BTP is unable to successfully secure and issue a confirmed reward flight ticket on your behalf, no service fee will be charged to you.** Our fee is contingent upon our success in booking the reward flight.
4. Changes, Cancellations, and Refunds
All changes, cancellations, and refund eligibility for flight tickets are strictly governed by the **Rules, Terms, and Fare Conditions of the Issuing Airline and/or the Negotiated Fare Contract.**
- **BTP Service Fees are non-refundable** once the ticket (reward or revenue) is issued and confirmed.
- Any cancellation or change requests made after ticketing may incur penalties from the airline and/or an additional service fee from BTP for processing the change.
5. Client Obligations
The Client agrees to:
- Provide accurate and complete personal identification and loyalty program information necessary for booking.
- Ensure they have sufficient points/miles in their account at the time of booking.
- Independently verify all itinerary details, including flight times and dates, prior to travel.
- Obtain all necessary travel documents (passports, visas, etc.) and travel insurance for their trip.
6. Limitation of Liability
BTP’s liability for any claim arising from or related to the services provided shall not exceed the amount of the BTP service fee paid by the client for the specific booking in question. BTP shall not be liable for any indirect, incidental, punitive, or consequential damages.
7. Governing Law
These Terms shall be governed and construed in accordance with the laws of the United States, without regard to its conflict of law provisions.
